Introduction

The European Broadcasting Union / Union Européenne de Radio-Télévision, L'Ancienne-Route 17A, 1218 Le Grand-Saconnex (Geneva) Switzerland (hereinafter referred to as "EBU", "we", "our", "us"), takes the privacy of your personal data seriously in accordance with the applicable data protection laws, including the EU General Data Protection Regulation 2016/679/EU (GDPR), the Swiss Federal Act on Data Protection, and any other applicable data protection laws and regulations (together, the "Data Protection Laws").

This Privacy Notice is intended to inform you about the personal data we collect and process when you access the Platform.

Capitalized terms under this Privacy Notice shall have the meaning ascribed to them under the Terms of Use of the Platform, unless expressly stated otherwise hereunder.

What QC stores about you

When accessing/using the Platform, we may collect and process the following categories of personal data:

1. Identification data: data submitted when you create your account, such as your name, email address, company, group memberships, and notification preferences. Where Single Sign-On (SSO) is used, this data is provided by your organization's identity provider; otherwise, it is provided by you or your administrator.
2. Authentication login data: data used to authenticate you on the Platform, such as your username, professional email address or login identifier. Where SSO is used, the EBU receives only the identity data necessary to identify you and does not access or store your corporate password.
3. Technical and usage data: data collected automatically when you access/use the Platform, such as IP address, browser or app version, connection time, system logs or diagnostic data. This data is processed for security, auditability, and troubleshooting purposes.
4. Personal data related to your contributions: data associated with content you author or upload on the Platform, such as your name, organisation, account details, and contribution metadata.
5. Activity data: audit trail of significant actions on the Platform (e.g., logins, downloads, deletions), as well as where applicable interactions with communications (e.g. email opens or clicks), for analytics, reporting, and service improvement.

Purposes and legal basis

We collect your personal data based on:

1. Performance of a contract (i.e., acceptance of the Terms when accessing/using the Platform): to provide access to the Platform, including creating and managing your account and enabling authentication.
2. Legitimate interests: to ensure security and proper functioning of the Platform (including fraud prevention, access management, and system monitoring), and to produce aggregated or anonymized statistics where relevant.
3. Consent: to send you notification regarding the Platform and QC Content in accordance with your communication preferences, and to respond to requests you submit to us in relation to the Platform and its content.

We do not use your personal data for direct marketing and do not carry out automated decision-making processes, unless authorised under applicable law or based on your explicit consent. Where the processing is based on your consent, you may withdraw such consent at any time. Please note that such withdrawal does not affect the lawfulness of processing based on consent made prior to such withdrawal.

Sharing of personal data

We may share your personal data with the following categories of recipients where necessary for the purposes ascribed herein:

1. relevant EBU staff, to manage your account and the Platform, as well as answer any of your queries in relation to the Platform and its content;
2. services providers acting on our behalf (e.g. hosting, IT, authentication, analytics, tools), to support the operation and maintenance of the Platform; and
3. other third parties, which may enable us to pursue the purposes indicated above. Please note that such third parties may also collect and process personal data for their own purposes, under their own "terms and conditions" and "privacy policy", as the case may be, for which we are not liable.

International Transfers: Some recipients may be located outside the European Economic Area, Switzerland or the United Kingdom. Where personal data is transferred to countries that do not provide an adequate level of protection, we ensure appropriate safeguards, such as Standard Contractual Clauses approved by the European Commission. You may request further information on these safeguards by contacting us.

Retention and authorship attribution

We retain personal data only for as long as necessary to fulfil the purposes described in this Privacy Notice.

Account-related data is retained for the duration of your account and may be deleted or anonymized upon account closure, except where retention is necessary for legitimate purposes such as maintaining system security, complying with legal obligations, preserving the integrity and traceability of the Platform.

The Platform operates as a collaborative knowledge database. Contributions you make (including edits, drafts, uploads and discussion posts) are associated with your name and organisation at the time of the contribution. This real-time attribution forms part of the integrity and traceability of the Platform and is retained as part of the historical record and thus retained even after account closure.

Technical logs and usage data are retained for a limited period, proportionate to security, audit and troubleshooting needs.

Cookies

Cookies are small text files placed in the browser of your computer (or other digital devices used) by websites that you visit. They are widely used to make websites work, or work more efficiently, as well as to provide information to the owners of the website.

The Platform uses only strictly necessary cookies, including:

1. a session cookie to maintain your login session; and
2. a security (CSRF) cookie to protect against cross-site request forgery.

These cookies are essential for the operation and security of the Platform and do not require your consent under Data Protection Laws. The Platform does not set analytics, advertising or tracking cookies.

Security and confidentiality

We have implemented technical and organisational measures in accordance with standard industry practices to ensure an appropriate level of security of the personal data processed. Nevertheless, security requires efforts from all parties involved. We thus encourage you to contribute to these efforts by taking appropriate security measures yourself, including by using strong passwords, keeping all your credentials confidential, and reporting suspected vulnerabilities.

Your rights

Data Protection Laws grant data subjects the following rights with respect to their personal data:

1. Right of access: the right to be informed about and to obtain access to the personal data processed about you.
2. Right to rectification: the right to obtain that we rectify or update your personal data when they are inaccurate or incomplete.
3. Right to erasure: the right to obtain that we delete your personal data.
4. Right to restriction of processing: the right to obtain that we limit the processing of all or part of your personal data.
5. Right to object: the right to object at any time to the processing of your personal data for reasons relating to your situation and the right not to be subject to a decision based exclusively on automated processing.
6. Right to data portability: the right to receive a copy of your personal data in electronic format and the right to transmit such personal data for use by a third-party service.

You may exercise these rights at any time by fulfilling a specific request form accessible on our dedicated Data Subject Rights Online Platform or by sending an email at privacy@ebu.ch.

Finally, as a data subject, you have the right to lodge a complaint with a data protection authority (in the European Union Member State of your usual residence, or your place of work, or the place of the breach) if you consider that the processing of your personal data violates the Data Protection Laws.
